What to put on an estimate

An estimate sets expectations. The clearer the assumptions, the fewer arguments when the final bill arrives.

How to scope and price work
  1. Your business details

    Business name and contact details, and your tax number if you are registered for VAT, GST or sales tax.

  2. Who it is prepared for

    The client and the person who approves the budget.

  3. An estimate number

    So you can refer to the right version when the scope changes and you send a revised estimate.

  4. Date and how long it stands

    Costs move. A valid-until date tells the client when you will need to re-estimate.

  5. Hours, services and materials

    Break the work into lines with estimated hours or quantities, so the client can see where the money goes.

  6. Estimated total and tax

    Label the total as an estimate and show the tax that will apply.

  7. Assumptions and tolerance

    State what the estimate assumes and how far the final amount can move, for example 10%, before you check in with the client.

What is the difference between an estimate and a quote?

An estimate is an approximate cost that can change once the work is better understood. A quote is a fixed price for a defined scope. If you are not yet sure of the scope, send an estimate with clear assumptions and convert it to a quote later.

How accurate should an estimate be?

Accurate enough that the client can budget. Many service businesses state a tolerance, such as plus or minus 10%, and agree to check in before exceeding it. Some industries and regions have specific rules for written estimates, so check what applies to you.

Should I show hours on an estimate?

For time-based work, yes. Showing estimated hours and a rate helps the client see the effort involved and makes changes easier to discuss.

Should I charge for estimates?

Simple estimates are usually free. For estimates that need site visits, audits or detailed planning, many businesses charge a fee and credit it against the project if the client goes ahead.

Can I turn the estimate into an invoice?

Yes. Use “Turn into invoice” in the toolbar to copy your details and line items into the free invoice generator, then adjust the quantities to the actual hours.

Do I need the client to sign an estimate?

It is not always required, but written approval avoids disputes. Ask the client to sign and return it or confirm by email before you start.
