What to put on an invoice

Missing details are the most common reason invoices get paid late. Here is what each part of a professional invoice is for.

  1. Your business details

    Business name, address, email, phone and tax number (GSTIN, VAT or EIN) so the client knows exactly who is billing them.

  2. Client details

    The client’s legal or company name, billing address and, for B2B invoices, their tax number.

  3. A unique invoice number

    A sequential number such as INV-2026-001 keeps your records clean and is required for tax filing in most countries.

  4. Invoice and due dates

    The date you issued the invoice and when payment is due, based on terms like Due on Receipt, Net 15 or Net 30.

  5. Itemised products or services

    A clear description of each item, with quantity, rate and line total, so there is nothing to dispute.

  6. Subtotal, tax and total

    Show the subtotal, each tax line (for example CGST and SGST, or VAT) and the final total, plus any advance already paid.

  7. Payment details

    Bank account, SWIFT or IFSC code, UPI ID, or a payment link, so the client can pay without asking how.

  8. Payment terms and notes

    Late fee policy, currency, and a short thank-you note. Clear terms get invoices paid faster.

How invoicing works in Arpixa
Is this invoice generator really free?

Yes. Every template, every currency, PDF download and printing are free, with no sign-up and no limit on how many invoices you create. It is the same invoice engine used inside Arpixa, offered as a standalone tool.

Do I need to create an account?

No. Open the page, fill in your details and download your invoice as a PDF. An account is only needed if you want to save invoices online, send them to clients, track payment status or accept card and UPI payments, which you can do on the free Arpixa plan.

Is my invoice data private?

Your invoice is built and turned into a PDF entirely in your browser. The details you type, your logo and your signature are not uploaded to Arpixa. They are saved only in this browser so your work is still here when you come back, and you can clear them at any time.

Which currencies and taxes are supported?

You can invoice in more than 150 currencies, from USD, EUR and GBP to INR, AED, SGD and AUD, with the correct symbol and number format. Tax options cover GST (with an optional CGST and SGST split), VAT, sales tax, service tax, TDS deducted at source, or a custom tax name and rate.

Can I add my logo and signature?

Yes. Upload a PNG, JPG, WebP or SVG logo, and either upload a signature image or draw one with your mouse, trackpad or finger. Both appear on the invoice and in the downloaded PDF.

How many invoice templates are there?

There are 41 templates, ranging from clean corporate and minimal designs to colourful, classic serif and dark themes, plus a dedicated Tax Invoice layout with a terms table and bordered line items. Switching templates keeps everything you have entered.

What should an invoice include?

A professional invoice should include your business name and contact details, the client’s name and address, a unique invoice number, the invoice date and due date, an itemised list of products or services with quantities and rates, subtotal, tax, total and balance due, accepted payment methods or bank details, and your payment terms.

Can I create a GST tax invoice for India?

Yes. Choose GST as the tax type, pick 5%, 12%, 18% or 28% or enter your own rate, add your GSTIN and your client’s GSTIN, and switch on the CGST and SGST split if needed. The Tax Invoice template and the amount-in-words line (in lakh and crore for INR) are designed for GST invoices.

Can clients pay the invoice online?

A downloaded PDF can include your bank details and UPI ID. To give clients a pay button with card, UPI and net banking, send the invoice from Arpixa, which connects to Stripe and Razorpay and marks the invoice paid automatically.

How is this different from invoicing inside Arpixa?

This tool creates one-off PDF invoices. Inside Arpixa, invoices are linked to your clients, proposals and projects, you can set up recurring invoices, clients see and pay invoices in a branded portal, and payment status updates on its own.
