What to put on a receipt

A receipt is proof that a payment was made. These are the details clients, accountants and auditors look for.

How to track client payments
  1. Who received the payment

Your business name, address and contact details, plus your tax number if you are registered.

  2. Who paid

The payer’s name or company, so the receipt matches their records.

  3. A receipt number

A unique, sequential number makes receipts easy to find and reconcile.

  4. Payment date, method and reference

When the money arrived, how it was paid, and the transaction or cheque reference.

  5. What the payment was for

The services or goods covered, or the invoice number the payment settles.

  6. Amount paid and tax

The amount received and any tax included. If you are registered for VAT or GST, some countries require a tax invoice in addition to a receipt.

Arpixa Invoices

The PDF is the easy part. Getting paid is the rest.

In Arpixa, the same invoice reaches your client as a pay page, marks itself paid when they pay, and sends reminders when it goes overdue. It sits on the client record next to the proposal and project it bills for.

Permanent free plan. No card required.

How payments work in Arpixa
Is this receipt generator free?

Yes. Create and download as many receipts as you like without an account. Everything is saved only in this browser.

What is the difference between a receipt and an invoice?

An invoice asks for payment. A receipt confirms that payment was received. Issue the invoice first, then a receipt once the client has paid.

What should a receipt include?

Your business details, who paid, a receipt number, the payment date, the method and reference, what the payment covered, and the amount including any tax.

Can a receipt be used as a tax invoice?

Not always. A receipt is proof of payment. If you are registered for VAT or GST, your country may require a tax invoice with specific details, such as tax numbers and the tax amount. Check the rules where you trade.

Can I make a receipt for a cash payment?

Yes. Choose Cash as the payment method. Cash receipts are especially useful as records because there is no bank statement to back them up.

How do I record a partial payment?

Enter the amount actually received and use the note to show the invoice it relates to and the balance still outstanding.

Does Arpixa keep proof of payment for me?

In Arpixa, invoices sit on the client record with their payment status, so you can see what was paid and when without searching your inbox.
