What to put on a quote

A clear quote is easier to say yes to, and it protects you when the scope is questioned later.

How to scope and price work
  1. Your business details

    Business name, address and contact details, plus your tax number if you are registered for VAT, GST or sales tax.

  2. Who the quote is for

    The client’s name or company and a contact, so the right person can accept it.

  3. A quote number

    A reference the client can quote back when they accept, and that you can match to the invoice later.

  4. Quote date and valid-until date

    Prices and availability change. A validity window, often 14 to 30 days, stops an old quote being accepted at old prices.

  5. Itemised scope and prices

    One line per deliverable or service, with quantities and rates, so the client sees exactly what is included.

  6. Tax and total

    Show whether prices include tax. Businesses registered for VAT or GST usually show the tax separately; US sales tax on services depends on the state.

  7. Terms and how to accept

    Deposit, payment schedule, what is not included, and how to accept: a signature, a reply or a purchase order.

Is this quote generator free?

Yes. You can create, download and print as many quotes as you like without an account. Your quote is saved only in this browser, so nothing is uploaded.

What is the difference between a quote and an estimate?

A quote is a fixed price for a defined scope that the client can accept as it stands. An estimate is an informed approximation that can change as the work becomes clearer. Use a quote when you know the scope; use an estimate when you do not yet.

How long should a quote be valid?

Fourteen to thirty days is common for services. Use a shorter window if your costs move quickly, such as materials or exchange rates, and say what happens after it expires.

Is a quote legally binding?

In many countries an accepted quote with clear terms can form a contract, but the rules vary by country and by industry. Keep the scope, price, validity and acceptance method clear, and take local legal advice for large or unusual jobs. This is general information, not legal advice.

Should I add VAT, GST or sales tax to a quote?

Show the tax that will apply so the total is not a surprise. If you are registered for VAT or GST, it is normal to show tax separately. In the US, whether a service is subject to sales tax depends on the state, so check your state’s rules.

Can I turn the quote into an invoice?

Yes. Use “Turn into invoice” in the toolbar. It copies your business, client and line items into the free invoice generator with a new invoice number and payment terms.

How should the client accept the quote?

Say how in the terms: sign and return it, reply by email, or issue a purchase order. In Arpixa you can send the same quote as an online proposal that the client e-signs, and the accepted work becomes a project.
