What to put on a proforma invoice

A proforma invoice looks like an invoice but is a preliminary document. These details keep it useful and stop it being mistaken for the final bill.

How to create client invoices
  1. Your business details

    Name, address, contact details and tax number, as on a normal invoice.

  2. The buyer

    The client’s legal name and address. For exports, use the details that will appear on shipping and customs documents.

  3. A proforma number and a clear title

    Title it “Proforma Invoice” so the client, their bank or customs do not treat it as the final tax invoice.

  4. Issue date and validity

    Prices and exchange rates change, so say how long the proforma stands.

  5. Goods or services, quantities and prices

    The same detail the final invoice will have. For goods, add descriptions buyers and customs can recognise.

  6. Expected tax and total

    Show the tax you expect to charge. Tax is normally accounted for on the final invoice, not the proforma.

  7. Payment details for any advance

    Bank account, SWIFT/BIC or IBAN if you are asking for a deposit before you start or ship.

  8. What happens next

    Advance required, delivery timing, and a note that the final invoice follows on delivery.

What is a proforma invoice?

A preliminary invoice sent before goods or services are delivered. It confirms what will be supplied and at what price, and is often used to request an advance payment, arrange financing or prepare customs paperwork.

How is a proforma invoice different from an invoice?

A proforma is a commitment to supply at a price, not a demand for payment of a completed sale. It is not usually recorded as a sale in your accounts. The final invoice is issued once the goods or services are delivered.

How is it different from a quote?

Both set out prices before the work. A quote is used to win the job. A proforma usually comes once the buyer has agreed, laid out like the final invoice, and often asks for an advance.

Can I charge VAT or GST on a proforma invoice?

You can show the tax you expect to charge, but tax is normally accounted for on the final tax invoice. In the UK, for example, HMRC does not accept a proforma as evidence for reclaiming VAT, and a full VAT invoice has to follow once you are paid or make the supply. Many businesses add “This is not a tax invoice” to the proforma to avoid confusion. Check the rules in your country.

When are proforma invoices used in international trade?

Importers often need one to apply for import licences, open a letter of credit or arrange foreign exchange, and customs may ask for one before goods are shipped. Include clear descriptions, quantities, values and the currency.

Can I turn the proforma into the final invoice?

Yes. Use “Turn into invoice” in the toolbar. It copies your details and line items into the free invoice generator with a new invoice number.
